Creating contracts

What do you intend to do?

Create a new contract

You can create a new contract ONLY by using the Projects filter. Therefore, you must create a new folder for the new project in the filter folder Projects. Now assign  the candidates who should work in the project to this new filter folder (of the new project). Then, you CREATE NEW contract(s) for each candidate.

  1. Click the Contracts tab

  2. Click in the Filter field on the filter folder Projects

  3. Create in this filter folder a new filter folder for the project, to which you want to assign a contract

  4. Click on the filter folder of the new project

  5. Assign the candidates, who you want to create the contract for, to this filter folder

  6. Click the filter of the assigned candidates and click the button.

  7. A separate window will open, where you can enter the contract data:

  8. Fill in the mask of the new contract and save your entry with OK

To plan a contract:

  1. Click on the Contracts tab

  2. Click in the Filter field on the filter folder Projects

  3. Create in this filter folder a new filter folder for the project, to which you want to assign a contract

  4. Click now on the filter folder of the new project

  5. Assign the candidates, for whom you want to create the contract, to this filter folder

  6. Click now on the filter of the assigned candidates and press the tab

  7. A separate window will open, where you can enter the contract data

  8. Fill in the mask

  9. Click on the register General contract data and select the Status Schedule or Future contract

  10. Save your entries with OK

Overview on the contract mask:

In the contract mask, fill in all the data about the contractor agreement, the customer contract, and the invoice. The mask is divided into four registers: general contract data, customer contract information, candidate contract information and invoice information.

Click on Canvasser in the selection box to select the desired candidate (the list contains all the staffITpro users)
Establish the commission rate by clicking on the arrow; alternative: Type the sentence manually in the field

Describe the task, for which the contract will be closed

Tab: Customer contract information:

Name

Description

Contract label

The label of the customer contract

Contact person for the contract

The contact person for this contract from the customer's side; select from this selection box the customer (the list contains all the business contacts of the saved customers):

  1. Type the term in the input field above the selection field

  2. After typing the first letters, your input suggestion from staffITpro will appear in the input field. In the selection field, the suggestion will be displayed and stored.

  3. If the suggestion does not fit the searched term, try another term, until the term you look for appears as a suggestion.

Note: If this field is not filled in, you can not save the contract.

Contract start date

Choose the date the contract will begin: Open the selection box, and a calendar in month view will appear. Select the desired date by clicking on it (by default, the current date is selected); you can change the months with the right and left arrows; alternative: Type the date manually in the field

Contract end date

Choose the end date of the contract: Open the selection box, and a calendar in month view will appear. Select the desired date by clicking on it (by default, the current date is selected); you can change the months with the right and left arrows; alternative: Type the date manually in the field

Total hours

Type in the customer's contract the total number of hours which can be worked by the employee in the project

Selling price

Enter the hourly rate for the employee

Customer contract requested on

Check this field, if you have requested the customer contract, and complete the field on: Open the selection box, and a calendar in month view will appear. Select the desired date by clicking on it (by default, the current date is selected); you can change the months with the right and left arrows; alternative: Type the date manually in the field

Customer contract received

Check this if the customer contract is at your disposal

Contract end date

Choose the end of the contract: Open the selection box, and a calendar in month view will appear. Select the desired date by clicking on it (by default, the current date is selected); you can change the months with the right and left arrows; alternative: Type the date manually in the field

Total hours

Type in the candidate's contract the agreed total number of hours which can be done by the candidate in the project

Buying price

The hourly rate earned by the candidate when working for you

Contract to candidate sent on

Check this field, if you have sent the candidate contract, and fill in the field on: Open the selection box, and a calendar in month view will appear. Select the desired date by clicking on it (by default, the current date is selected); you can change the months with the right and left arrows; alternative: Type the date manually in the field

Candidate contract received

Check this if the candidate contract is at your disposal

Tab: Invoice information:

Name

Invoice address

The address, where the customer invoice is sent to

Note: If this field is not filled in, you can not save the contract.

Accounting contact

Your contact person for accounting on the client's side

Note: If this field is not filled in, you can not save the contract.

Invoice text

Type in the invoice text or select Change using the tab. A separate dialogue window will open containing the selection box Please select invoice text. Select a text from the list (the texts are managed by the administrator).

Number of invoice copies for the client

The number of invoice copies that have to be sent to the client together with the original: Choose the number by using the arrow or by typing in the number in the field manually.

Customer payment day

Choose the number by using the arrow or by typing in the number in the field manually.

Candidate payment day

Choose the number by using the arrow or by typing in the number in the field manually.

Duplicate time sheet for customer

Check here, if the candidate's time sheet is necessary (checked by default).

Proof of working hours

Check here, if the client wishes to receive a copy of the time sheet from the candidate (checked by default).
